Position Overview



We are seeking a detail-oriented, trustworthy Administrative professional to support our operations on the administrative and financial side. This role requires strong numerical and accounting skills, some QuickBooks knowledge, and the highest level of discretion when handling confidential employee information (including payroll, 401k contributions, health insurance details, and other personal data). The ideal candidate is sharp with numbers, organized, and committed to accuracy and compliance.



Key Duties and Responsibilities

  • Payroll Audits and Processing
  • Conduct regular audits of payroll data to ensure accuracy, completeness, and compliance with company policies and applicable regulations.
  • Verify timesheets, hours worked, overtime, bonuses, and other payroll elements.
  • Identify and resolve discrepancies in payroll records through thorough review and reconciliation.
  • Commissions Calculation and Management
  • Calculate commissions accurately based on established commission plans, sales performance, and relevant agreements.
  • Track sales data, verify commission eligibility, and process commission payments in coordination with payroll cycles.
  • Maintain detailed records of commission calculations for transparency and audit purposes.
  • QuickBooks Management
  • Utilize QuickBooks (Online or Desktop) to enter, track, and reconcile financial data related to payroll, commissions, and other administrative transactions.
  • Update employee records, process journal entries, and generate reports as needed for payroll and commissions.
  • Assist with basic bookkeeping tasks tied to payroll and sales-related expenses.
  • Handling Confidential Employee Information
  • Manage sensitive staff data with the utmost confidentiality and integrity, including 401k contributions, health insurance enrollments/deductions, personal deductions, and other private benefits information.
  • Ensure compliance with data privacy standards and internal security protocols when accessing or updating employee records.
  • Sales Documentation and Pricing Analysis
  • Process and document sales transactions accurately for record-keeping and financial reporting.
  • Analyze pricing sheets to verify accuracy, identify trends or discrepancies, and support pricing decisions or adjustments.
  • Maintain organized documentation of sales records, contracts, and related financial details.
  • General Administrative Support
  • Reconcile related accounts and prepare reports on payroll, commissions, and sales metrics for management review.
  • Collaborate with HR, sales, and leadership teams to resolve payroll or commission inquiries.
  • Assist with year-end processes, such as W-2 preparation, 401 (k) reporting, or audit support.
  • Perform other administrative tasks as needed to support smooth operations.

Preferred Skills and Qualities

  • Proven experience with QuickBooks for payroll, commissions, or bookkeeping tasks.
  • Strong mathematical and analytical skills with close attention to detail.
  • Excellent organizational and time-management abilities to handle multiple deadlines.
  • Absolute trustworthiness and discretion when dealing with confidential employee and financial information.
  • Proficiency in Microsoft Excel (or similar tools) for data analysis and reporting.
  • Knowledge of basic payroll compliance, deductions, and benefits administration
