Position Overview: We are looking for a sharp, proactive, and discreet Executive Assistant to provide high-level support to our Senior Management. You will act as a strategic partner and "gatekeeper," ensuring that executive workflows run smoothly and that critical business priorities are managed efficiently. This role is ideal for someone who thrives in a fast-paced environment and can anticipate needs before they arise.


Key Responsibilities:

  • Executive Support: Manage complex calendars, schedule high-priority meetings, and coordinate travel logistics (business & personal) to optimize the Executive’s time.
  • Gatekeeping & Liaison: Act as the primary bridge between the Executive and external stakeholders (partners, vendors, clients), filtering inquiries to ensure smooth collaboration.
  • Meeting & Document Management: Organize management meetings, take comprehensive minutes, and prepare professional presentation decks and reports.
  • Business Coordination: Assist with initial business inquiries, research projects, and follow up on partnership discussions to keep priorities moving forward.
  • Confidentiality: Handle highly sensitive information, legal documents, and private matters with strict integrity and discretion.


Requirements:

  • Experience: Proven background as an Executive Assistant, Personal Assistant, or Senior Secretary is highly recommended.
  • Language Skills: Strong command of English and Mandarin to handle diverse business communications.
  • Tech Savvy: Proficient in MS Office (PowerPoint/Excel); ability to use AI tools (e.g., ChatGPT) for efficiency is an added advantage.
  • Soft Skills: High Emotional Intelligence (EQ) with a strong ability to maintain strict confidentiality and professional trust.
