The Accounting Officer is responsible for handling financial transactions, maintaining accurate records, and ensuring timely preparation of financial reports specific to the operations of a manning agency. The role involves coordination with crewing, operations, and external stakeholders such as principals, suppliers, and regulatory bodies, ensuring compliance with accounting standards and maritime industry requirements.


Key Responsibilities:

  • Maintain and update financial records, including journal entries, disbursements, and receipts.
  • Monitor accounts payable and receivable related to crew salaries, allotments, processing fees, visa and training costs, etc.
  • Prepare billing statements/invoices for principals and ensure timely collection.
  • Process payments for crew deployment expenses (e.g., medical, training, visa, airfare).
  • Prepare monthly financial reports, cash flow statements, and bank reconciliations.
  • Assist in preparing payroll and crew allotments, ensuring accuracy and timely disbursement.
  • Coordinate with external auditors, government agencies (e.g., BIR, SSS, PHIC, HDMF), and banks as needed.
  • Monitor budget utilization and provide variance analysis reports.
  • Ensure proper documentation and filing of all accounting-related transactions.


Qualifications:

  • Bachelor’s Degree in Accountancy.
  • Preferably with 1–3 years of accounting experience, ideally in a manning agency or maritime-related company.
  • Knowledge of accounting systems and software (e.g., QuickBooks, Xero, or other ERP systems).
  • Strong analytical, problem-solving, and organizational skills.
  • Familiar with payroll preparation, government statutory reporting, and crew remittance processes.
  • Proficiency in Microsoft Excel and other MS Office tools.
