Administrative Specialist/Assistant

Job Description
- Greet patients warmly and check them in for appointments.
- Schedule and confirm patient appointments, coordinating with the dentist’s availability.
- Answer phone calls, respond to inquiries, and direct calls to appropriate staff members.
- Update and maintain patient records, including medical histories and contact information.
- Assist patients with completing necessary forms and ensure their accuracy.
- Explain office policies, billing processes, and payment options to patients.
- Process payments and issue receipts for treatments and services.
- Verify patient insurance coverage and handle claims submissions.
- Follow up on unpaid balances and coordinate with patients regarding payment plans.
- Order and organize office supplies, dental forms, and equipment as needed.
- Maintain a clean and organized reception and waiting area.
- Support dental staff by preparing files, reports, or other documents as required.
- Ensure compliance with health and safety standards and confidentiality regulations (e.g., HIPAA).
- Handle sensitive patient information securely and professionally.
- Attention to Detail: Ensure products are packed accurately and securely.
- Physical Stamina: Ability to stand for long periods and lift heavy packages.
- Time Management: Meet packing deadlines in a fast-paced environment.
- Teamwork: Work effectively with other staff members to meet production goals.
- Basic Math Skills: Ability to count and verify items accurately.
