POSITION SUMMARY

The Setup Supervisor is responsible for overseeing the setup, coordination, and maintenance of tours and excursions managed by a team of specialists. This role ensures that the team accurately loads and updates all tour-related data, including pricing, schedules, and promotions, into the booking system. The supervisor will lead, guide, and support the team, working closely with various departments to deliver exceptional excursion experiences.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

Team Leadership and Management

  • Oversee and manage a team of Tour and Excursion Setup Specialists, providing guidance, support, and performance feedback.

  • Coordinate and delegate tasks to ensure efficient and accurate completion of all responsibilities.

System Setup and Maintenance

  • Ensure the timely creation and maintenance of tour details in the reservation and management system by the team.

  • Supervise the uploading and updating of price grids, promotional offers, and savings programs.

  • Oversee the accurate entry and maintenance of all tour-related data, including schedules, prices, and promotional offers.

  • Ensure the team updates penalty and fee tables; add products and supplements to all tours.

Collaboration and Communication

  • Facilitate communication and collaboration between the shorex, marketing, sales, and customer service teams to ensure consistency and accuracy in promotional materials.

  • Support the team in liaising with the internal technical team to enhance aspects of the reservation and management system and provide input on the development of necessary functionalities.

Quality Assurance

  • Implement and monitor quality assurance practices to ensure the correct package creation, pricing, costs, and inventory for tours and excursions.

  • Review daily system reports to identify urgent product matters and ensure appropriate actions are taken.

  • Conduct regular audits to ensure compliance with safety regulations and company policies.

Special Projects and Problem-Solving

  • Lead the team in the delivery of special projects such as new tour launches and promotional offerings.

  • Address and resolve any issues that arise during the setup process or execution of tours.

  • Develop and implement contingency plans to handle emergencies and unexpected situations smoothly.

Reporting and Analysis

  • Ensure the generation and maintenance of standardized files for efficient access by all team members.

  • Assist management with analyzing pricing and the feasibility of extending or creating new promotional offers.

  • Coordinate with other teams to implement necessary changes to offerings based on itinerary changes.

 

QUALIFICATIONS, KNOWLEDGE, AND SKILLS

  • Degree in economics, statistics, technology is a plus.

  • Proficient in Excel, including pivot tables and key formulas

  • Knowledge of PowerQuery and PowerPivot is a plus.

  • Minimum of 3 years of experience in a supervisory role within tour operations, travel planning, or a similar field.

  • Strong organizational and leadership skills.

  • Proactivity in problem-solving and issue resolution.

  • Proficiency in using booking systems and database management tools.

  • Exceptional attention to detail and a commitment to delivering high-quality work.

  • Ability to work flexible hours, including weekends and holidays, as needed.

  • Willingness to travel occasionally for site inspections.
