We are looking for a proactive and detail-oriented individual to join our team as an Administrative Supervisor. The role ensures the efficient and smooth operation of office functions by overseeing administrative activities, purchasing processes, and internal communications. The role includes supervising the Assistant Maintenance Staff and Housekeeper to ensure proper task execution and compliance with company standards, while supporting managers and employees through organized workflows, accurate record-keeping, and effective coordination of resources.


Key Responsibilities:

  • Monitor the inbound and outbound movement of documents, equipment, chemicals, and supplies
  • Conduct monthly on-site inventory of chemicals and equipment
  • Record and monitor daily chemical consumption and reconcile actual vs. recorded usage
  • Receive, inspect, and properly record chemical and equipment deliveries
  • Maintain supplies inventory, anticipate replenishment needs, and expedite approved purchase requests
  • Conduct market research and coordinate purchasing with accredited suppliers and external providers
  • Prepare, monitor, and maintain accurate purchase orders and payment vouchers in the accounting system
  • Monitor, release, and document petty cash and reimbursement requests
  • Perform general administrative tasks such as filing, typing, scanning, printing, and document control
  • Develop, organize, and maintain an accurate and systematic filing system (physical and digital)
  • Transcribe minutes of meetings and disseminate information to concerned employees
  • Answer phone calls, manage inquiries, schedule meetings, and assist visitors professionally
  • Organize and coordinate appointments and internal administrative schedules
  • Coordinate daily activities and work assignments of the Assistance Maintenance Staff
  • Renew and monitor government-related permits and licenses
  • Handle vehicle registration, renewal, and documentation
  • Monitor the Preventive Maintenance Schedule (PMS) of company vehicles
  • Maintain professional communication via email and phone
  • Supervise Assistant Maintenance Staff and Housekeeper, ensuring tasks are completed efficiently and according to company standards
  • Perform other administrative or operational tasks as assigned by Management

Qualifications:

  • Bachelor’s degree in any 4-year college course, preferably in Business Management, Administration, or a related field.
  • At least 1 year of relevant experience preferred; high-performing fresh graduates are also encouraged to apply.
  • Strong organizational, multitasking, and time management skills.
  • Excellent communication skills, both verbal and written.
  • Knowledge of and/or experience with ISO 9001 Quality Management Systems is an advantage
  • Proficient in Microsoft Office and other office software.
  • Detail-oriented, proactive, and highly responsible.
