Job Summary:

The HR Assistant - Compliance is responsible for ensuring that employees adhere to company policies, labor laws, and regulatory requirements. This role involves monitoring compliance, handling disciplinary matters, conducting investigations, reviewing and developing policies, issuing disciplinary notices and memos, and ensuring adherence to labor and related regulatory agencies. The position requires strong attention to detail, excellent communication skills, and a solid understanding of labor laws and company regulations.

 

Key Responsibilities:

1. Employee Compliance Monitoring

  • Ensure employees comply with company policies, procedures, and workplace standards.
  • Conduct routine compliance checks and report findings to HR management.
  • Assist in tracking and updating employee records to ensure compliance with internal policies and labor regulations.

2. Employee Discipline and Conduct Management

  • Issue Notice to Explain (NTE) and disciplinary memoranda in accordance with company policies and labor laws.
  • Assist in conducting disciplinary investigations and ensuring due process.
  • Maintain records of employee violations, disciplinary actions, and resolutions.
  • Guide employees and managers on proper disciplinary procedures.

3. Investigations and Conflict Resolution

  • Conduct fact-finding investigations related to employee grievances, misconduct, or policy violations.
  • Document investigation processes and prepare reports on findings and recommendations.
  • Recommend appropriate disciplinary actions based on investigation results and company policies.
  • Ensure that all investigations comply with legal and regulatory standards.

4. Policy Review and Development

  • Assist in reviewing, updating, and developing HR policies to align with labor laws and company objectives.
  • Research best practices and suggest improvements to existing policies.
  • Communicate policy updates to employees and ensure company-wide compliance.

5. Compliance with Labor and Regulatory Agencies

  • Ensure company adherence to labor laws, employment standards, and regulatory requirements.
  • Prepare reports and documentation required for compliance audits and inspections.
  • Assist in responding to inquiries from labor authorities and government agencies.
  • Support HR leadership in implementing legal changes and compliance initiatives.

 

Qualifications:
  • Bachelor’s degree in Human Resources, Business Administration, Law or a related field.
  • With relevant experience in HR compliance, employee relations, or a similar role.
  • Graduates of Bachelor of Laws (LL.B.) or Juris Doctor (JD) without experience are welcome to apply.  
  • Knowledge of labor laws, workplace policies, and regulatory compliance.
  • Very good written and verbal communication skills.
  • Ability to handle confidential information with discretion.
