The Operations Associate is responsible for managing business operations, cost estimation, proposal development, and office administration within an engineering design firm. This role ensures that project quotations are accurately prepared, proposals are tracked, and awarded projects are smoothly transitioned into operations.

Business & Cost Estimation:

  • Analyze project requirements and estimate engineering design man-hours and costs.
  • Develop pricing structures to ensure profitability while remaining competitive.
  • Prepare detailed quotations and proposals based on cost analysis and scope of work.
  • Track sent proposals and maintain records of the hit rate (success vs. rejection).

Operations & Project Support:

  • Define and document the scope of work for awarded projects based on the approved quotation.
  • Coordinate with engineering teams to align project execution with contractual agreements.
  • Assist in resource planning, ensuring the availability of personnel and materials for awarded projects.

Office Administration & Process Optimization:

  • Manage and improve business operations processes to enhance efficiency.
  • Maintain project documentation, contracts, and financial records.
  • Oversee general office administration, including procurement, invoicing, and vendor coordination.
  • Support management in operational decision-making and business growth initiatives

Qualifications & Skills:

  • Bachelor’s degree in industrial engineering, Business Administration, or a related field.
  • Experience in business operations, cost estimation, or project management is a plus.
  • Previous work in an engineering firm is an advantage.
  • Strong analytical skills for cost estimation and financial analysis.
  • Highly proficient in Microsoft Office (Excel, Word, PowerPoint) and Canva.
  • Excellent organizational, communication, and negotiation skills.
  • Able to work independently and collaborate with cross-functional teams.
