As an Administrative Assistant at Outright Wholesale Consumer Goods Trading, you will play a crucial role in ensuring the smooth and efficient functioning of our office. You will be responsible for a variety of administrative tasks that will contribute to the overall success of our team and organization. Key Responsibilities:

  • General Office Support:
  • Answer and direct phone calls, taking messages when necessary.
  • Greet and assist visitors to the office.
  • Maintain a clean and organized office environment.
  • Calendar Management:
  • Schedule appointments, meetings, and conference calls for team members.
  • Ensure that all appointments are accurately entered into the calendar system.
  • Document Management:
  • Assist in the creation, formatting, and proofreading of documents, reports, and presentations.
  • Organize and maintain physical and digital files.
  • Communication:
  • Manage and respond to emails and correspondence on behalf of team members.
  • Assist in drafting and editing internal and external communications.
  • Travel Coordination:
  • Arrange travel plans, including booking flights, accommodations, and transportation as needed.
  • Prepare travel itineraries and necessary documentation.
  • Expense Reporting:
  • Track and manage expenses, ensuring accuracy and compliance with company policies.
  • Prepare expense reports for team members.
  • Meeting Support:
  • Coordinate and prepare materials for meetings, including agendas and presentations.
  • Take meeting minutes and distribute them to relevant parties.
  • Vendor and Supplier Relations:
  • Maintain relationships with vendors and suppliers.
  • Assist in ordering office supplies and equipment.
  • Special Projects:
  • Assist with ad-hoc projects and tasks as assigned by management.


Qualifications:

  • High school diploma or equivalent; additional education or certification is a plus.
  • Proven experience as an administrative assistant or in a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Attention to detail and accuracy.
  • Adaptability and the ability to work in a fast-paced environment.
  • Positive attitude and a strong work ethic.

Job Type: Full-time
