Position Summary

The Secretary provides administrative and clerical support to the Executive Office or assigned department, ensuring smooth daily operations. This role handles documentation, scheduling, communication, and coordination across departments with professionalism and confidentiality.


Job Descriptions :

  1. Manage daily correspondence, emails, phone calls, and official communications.
  2. Prepare, edit, and distribute letters, memos, reports, and meeting minutes.
  3. Maintain proper filing systems (digital & physical) for documents, contracts, and records.
  4. Handle sensitive information with strict confidentiality.
  5. Assist in scheduling meetings, appointments, and internal/external engagements.
  6. Coordinate meeting rooms, catering, materials, and logistics.
  7. Organize departmental events, training, or staff activities as required.
  8. Support the General Manager or Department Head with administrative tasks and follow-ups.
  9. Liaise with internal departments (HR, Finance, Operations, Sales, etc.) to ensure timely flow of information.
  10. Assist in preparing presentations, reports, and monthly updates.
  11. Track deadlines, submissions, and project timelines.
  12. Welcome VIP guests, partners, suppliers, or government representatives visiting the office.
  13. Maintain a professional and polished communication tone at all times.
  14. Manage office supplies, stationery, and administrative inventory.
  15. Process purchase requests and coordinate with procurement or finance for approvals.


Job Requirements


  • Minimum Diploma or Bachelor’s degree (preferably in Administration, Hospitality, or related

field).

  • Minimum 1–2 years of experience in administrative or secretarial roles. hospitality

background is a plus.

  • Strong organizational and time-management skills.
  • Excellent verbal and written communication (English proficiency preferred).
  • Proficient in MS Office (Word, Excel, PowerPoint), email, and scheduling tools.
  • Professional appearance, high confidentiality, and service-minded attitude.
