The Admin Manager is a strategic leader responsible for the backbone of the company’s physical and operational infrastructure.
This role goes beyond basic office management; you will lead procurement strategies, ensure absolute compliance with Philippine regulatory bodies, and manage the full lifecycle of company assets. You will be a key partner to HR, Finance, and Legal, ensuring that the workplace is safe, efficient, and cost-effective.
Key Responsibilities
1. Strategic Office & Facilities Management
- Infrastructure: Oversee day-to-day office operations, facilities maintenance, and relations with building management
- Workplace Strategy: Lead space planning, seat allocations, and office renovations. Support leadership in expansion or relocation projects
- Safety: Implement and maintain workplace safety standards and emergency protocols
2. Procurement & Vendor Ecosystem
- End-to-End Procurement: Manage the full PR–RFQ–PO cycle, ensuring transparent canvassing and rigorous supplier onboarding
- Negotiation: Lead contract negotiations for pricing, service levels (SLAs), and warranties to maximize ROI
- Forecasting: Establish procurement forecasting and cost-saving initiatives to optimize the company’s "burn rate" on consumables and services
3. Asset & Inventory Control
- Asset Lifecycle: Manage the acquisition, tagging, assignment, maintenance, and eventual disposal of all company assets (IT equipment, furniture, etc.)
- Accountability: Maintain a 100% accurate asset registry and ensure all employees sign appropriate custodianship documents
- Audits: Conduct regular physical audits of inventory and equipment
4. Compliance & Statutory Coordination
- Permitting: Lead the annual renewal of the Mayor’s Permit, Barangay Clearances, and SEC GIS filings
- Regulatory Liaison: Coordinate with BIR, DOLE, and LGUs to ensure all permits and certifications are displayed and updated
- Policy Enforcement: Ensure all vendor engagements and asset usages comply with internal audit and legal standards
5. Logistics, Budgeting & People Leadership
- Logistics: Oversee corporate travel, fleet management (if applicable), and courier/shipment services
- Budgeting: Prepare the annual Administration budget and provide monthly reports on spending vs. allocation
- Team Leadership: Supervise and coach a team of admin coordinators and general services personnel. Set clear KPIs and foster a culture of "service excellence"
Qualifications
Education
- Bachelor’s degree in Business Administration, Management, or a related field
Experience
- 5–8 years in General Admin, Procurement, or Corporate Services
- At least 2–3 years in a managerial or supervisory role
- Experience in Fintech, BPO, or Startups is highly preferred due to the fast-paced nature of these industries
Hard Skills
- Expertise in Philippine regulatory requirements (LGU, SEC, DOLE, BIR)
- Advanced procurement planning and contract management skills
- Proficiency in asset management software and Microsoft Excel (for budgeting/reporting)
Soft Skills
- High level of professional integrity and confidentiality
- Strong stakeholder management (ability to say "no" to requests firmly but professionally)
- Project management skills for office fit-outs or company-wide events
