JOB SUMMARY

The Admin Supervisor oversees daily administrative operations, including office management, administrative staff supervision, and company vehicle/fleet management. The role ensures efficient operations, proper documentation, cost control, and compliance with company policies and procedures.

Administrative Operations

• Supervise and coordinate daily administrative functions to ensure smooth office operations.
• Implement and maintain administrative systems, procedures, and internal controls.
• Ensure proper filing, documentation, and record-keeping (physical and digital).

People & Team Supervision

• Lead, train, and monitor administrative personnel.
• Assign tasks, set priorities, and ensure timely completion of work.
• Conduct performance evaluations and provide coaching and guidance.

Office, Facilities & Asset Management

• Oversee office facilities, equipment, and supplies.
• Manage inventory and ensure proper use and safekeeping of company assets.
• Coordinate with vendors, service providers, and building administration.

Vehicle & Fleet Management

• Oversee the scheduling, utilization, and monitoring of company vehicles.
• Ensure proper documentation of vehicle use, trip tickets, logbooks, and fuel records.
• Coordinate preventive maintenance, repairs, registrations, renewals, and insurance of company vehicles.
• Monitor fuel consumption and vehicle expenses; recommend cost-saving measures.
• Ensure drivers’ compliance with company policies, safety standards, and government regulations.
• Investigate and report vehicle-related incidents, damages, or violations.

Coordination & Support

• Provide administrative support to management and various departments.
• Coordinate meetings, company activities, and logistical requirements.
• Assist in onboarding employees by ensuring administrative and logistical readiness.
