Key Responsibilities

  • Communication: Answering phones, greeting visitors, handling correspondence (emails, memos, letters).
  • Scheduling & Coordination: Managing calendars, booking meetings, arranging travel, coordinating events/teams.
  • Document Management: Preparing, editing, and organizing documents, reports, and presentations; maintaining physical and electronic files.
  • Office Operations: Ordering supplies, managing inventory, maintaining equipment, handling mail/deliveries.
  • Financial Tasks: Processing expense reports, basic bookkeeping, tracking expenditures, managing invoices.
  • Support & Data: Performing data entry, updating databases, assisting managers/staff, handling confidential information. 

Typical Duties

  • Scheduling appointments and updating calendars.
  • Drafting and editing letters, memos, and reports.
  • Managing incoming and outgoing mail and faxes.
  • Maintaining databases and filing systems.
  • Arranging staff meetings and preparing agendas.
  • Providing support for events and project coordination. 

Core Skills & Qualities

  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication.
  • Proficiency with office software (e.g., Microsoft Office Suite).
  • Attention to detail.
  • Ability to work independently and as part of a team.
