KEY RESPONSIBILITIES:

  • Communicate and liaise verbally and in writing between customers/suppliers/visitors/enquirers and relevant staff and interpret and respond clearly and effectively to spoken requests over the phone or in person, and to verbal or written instructions.
  • Ensure phone calls are attended to with complete satisfaction.
  • Adept at using all features of standard office machines, including a personal computer and a variety of computer software, phone, fax, calculator and photocopy machine.
  • Establish and maintain effective working relationships with officers, co-workers and in general public.
  • Performs reception duties in efficient, professional, and customer manner.
  • Maintains consistent attendance and punctuality record.
  • Serves as an in-house model by complying with all aspect of personal appearance and dress code guidelines.
  • Maintains a thorough working knowledge of and adherence to policies, procedures and regulations
  • Pursue personal development of skills and knowledge necessary for the effective performance of the role.
  • Liaises with other departments regarding matters arising.
  • Ensures completion of paperwork, sign-in and security procedures.
  • Handles special administrative projects, as well as overflow work from department.
  • Files data and perform other routine clerical tasks as assigned and for other departments as needed.
  • Sign for documents delivered by affiliates when necessary and forward to recipients.
  • Maintains clean workplace.
  • Send various documents to all warehouses and branches.
  • Send various documents thru courier.
  • Keeps an eye on President's and other officer's arrival.
  • Attends PSS emails (i.e. Sales Orders, Purchase Order and Request for Quotation.
  • Maintains compliance of reports and submission of deadlines/requirements of all Sales Manager, Professional Sales Specialist, Product Specialist & Team Leader.
  • Verifies all Sales Personnel's compliance to itinerary as the need arises.
  • Prepares quotation and ensures accuracy of details as approved.
  • Submits reports as required
  • Ensures and assures management on maintaining levels of confidentiality.
  • Performs other duties that may be assigned from time to time.
  • Computer Literate
